Conditions of participation

Conditions of participation for Vychodniarska stovka

1.) Only a person with a minimum age of 18 can participate in the Vychodniarska stovka (Vychodniarska 50) event (i.e. a person who turned 18 no later than the day before the start).

2.) The Východniarska stovka (Východniarska 50) event can only be attended by a person registered in advance via the registration form, who has paid the participation fee based on instructions from the event organizer delivered to the contact mailbox (e-mail indicated in the registration form) and has been included in the list of registered participants with completed registration. Registration directly at the location of the presentation / start of the event is not possible.

3.) The fee for the start of one participant is 65 EUR (55 EUR for V50). Registered persons will be informed about the method of payment of the entry fee via e-mail, which they will receive after registration at the address indicated in the registration form. Payment of the start fee must be made by transfer to the account of the Vychodniarska stovka event in EUR and within the specified time limit. Payments in cash and other currencies are not accepted.

4.) The time limit for the payment of the entry fee is 7 calendar days from the date of sending the e-mail with information about the payment of the entry fee (not from the date of opening the e-mail). If the start fee is not on the account of the Vychodniarska stovka event by the specified date, the application will be canceled without further notice.

5.) The entry fee is non-transferable, its sale to another participant (or purchase from another participant) is not accepted.

6.) Cancellation of participation: information about the cancellation of the application for the Vychodniarska stovka event must be notified immediately via e-mail to the address info@cassoviatrailrunners.sk (cancellation of participation communicated verbally or via a telephone call or via social networks is not accepted). The full entry fee will be refunded by July 26, 2024. (for a refund of the entry fee, the account number must be provided) After July 24. 2024, the entry fee will be refunded after deducting a cancellation fee of 50% from the amount paid, and only if the information about the cancellation of the application for the event was sent via e-mail to the address info@cassoviatrailrunners.sk After August 3, 2024 23.59 hrs. a cancellation fee is 100% of the fee.

7.) The organizers of the event reserve the right not to accept (reject) registration.

8.) Participation in the event is voluntary and at your own risk. The organizers are not responsible for damages incurred by the participants or caused by them.

9.) The organizers of the event recommend all participants to take out a suitable type of insurance for the duration of it.

10.) The organizers of the event strongly recommend all event participants to undergo an individual medical examination beforehand.

11.) The total number of participants for the event is 200.

12.) Before the start in Kysak, each participant is obliged to go through a presentation (on Friday evening) at a designated place, where they will receive instructions. During the presentation, each participant will submit a completed and signed document Informed consent of the participant of the event (to be published here).

Mandatory equipment

1.) Each participant of the event must have all items of mandatory equipment with them during the duration of the event (i.e. from the start until the end of participation at the finish line or at another place on the event route). If mandatory equipment is found to be missing, the participant will not be allowed to start. In case of missing items of mandatory equipment on the route (see point 2. for a list of these items), the participant will be disqualified.

2.) Mandatory equipment is as listed:
– 1 pc isothermal foil
- A headlamp with a fully charged battery
A fully-charge and switched on mobile phone with the phone number was given in the registration form
– A map containing the entire course of the event or a GPS-capable device with the map course
– High visibility vest, suspenders or straps
– Bottle(s) or a hydropack with a minimum capacity of 1 liter
– Cup or a bottle with a wide mouth (bidon) with a volume of at least 1.5 dl (bottles with a narrow mouth are not accepted)
– A proof of identity (government ID card or similar)

3.) The check of mandatory equipment can be carried out before the start and during the event at any place along the route by the organizer or a volunteer authorized by him.

The course of the event

1.) The participant presentation is on Friday, August 9, 2024 at the gym of the elementary school in Kysak (Základná škola Kysak) between 18.00 and 23.00.   For the event Vychodniarska 50 the presentation is possible in Kojšov (Karčma pod hoľu) on Saturday Aug 10, 2024 from 9.30 to 11.30 am.

2.) Transport of personal items from the start point to the finish is possible. Hand-in your bags labeled with your bib number and name at least 20 minutes before the start of the event.

3.) The start of the Vychodniarska stovka event is at front of the Obecný úrad (municipality hall) in Kysak on Saturday, August 10, 2024 at 6.00 am. The start of the Vychodniarska 50 event is on Saturday, August 10, 2024 at 12.00 pm (noon) in front of the Karčma pod hoľu in Kojšov.

4.) The time limit for the Vychodniarska stovka event is 30 hours, meaning participant needs to pass the finish line until Sunday, August 11, 2024 12.00pm (noon). The time limit for the Vychodniarska 50 event is 14 hours, meaning participant needs to pass the finish line until Sunday, August 11, 2024 2.00 am.

4.) The event route is precisely defined, the event participant is obliged to follow this route.

5.) Carrying the runner's equipment by another person is strictly prohibited.

6.) Personal help (assistance) to the participant (e.g. from family members, friends...) is tolerated only at aid stations.

8.) To ensure the fair and equal conditions for all the participants pacers are not allowed. The exception to this rule are the pacers for the blind participants (with the permission of the organizer).

9.) In order to protect the health of the participants, in the event of medical complications that could endanger the safety, health or life of the participant, the attending medical professionals have the right to decide to terminate his participation in the race (or to interrupt it for the necessary time). In such a case, the participant is obliged to submit to this decision.

10.) In case of early termination (DNF) of participation in the event outside the aid station, the participant is obliged to inform the event organizer by phone or via SMS message (in case of unavailable signal at the location, the participant must do so at the first possible opportunity). The contact number of the event organizer will be listed in the control card (itineraries).

11.) The participant is obliged to provide assistance to another participant in need.

12.) In case of discovering circumstances that would threaten the life or health of the participants on the event route, the participant is obliged to immediately notify the event organizers of this fact.

13.) The organizers of the event reserve the right to change the route, the time limits of the checkpoints and the program of the event or to cancel the event completely (primarily due to the safety of the participants).

Aid stations, route compliance control, penalty, disqualification, protest

1.) On the route of the event there will be checkpoints ("aid stations" staffed by the event organizers or volunteers authorized by them) at places about which the participants are informed via this website and via the control card.

2.) Each participant's arrival time will be recorded at each aid station. Time will be recorded in each aid station using an electronic timer (volunteer will record it using the app). Therefore, the participant have to accesses the aid station immediately upon arrival to the aid station i.e. not when leaving it or after refreshments. The organizers or volunteers authorized by them have the right to check the mandatory equipment of the participant here.

3.) In addition to the main time limit for completing the entire route (30 or 14 hours), there are partial time limits on the route at designated checkpoints (see the Information section). If the time limit is not respected at one of these stations, participation in the event ends, but the participant can continue on the route outside the event.

4.) The participant who passes all the checkpoints while respecting their time limits and arrives at the finish line within the specified overall time limit will receive a diploma at the finish line as confirmation of successful completion of the event.

5.) If there is no entry from the checkpoint(s) or a self-check photo, the event organizers decide on the penalty/disqualification.

6.) Intentional violation of the route (so-called cutting), use of a means of transport and any other methods of cheating result in disqualification (DSQ) and at the same time disqualification from all other races organized by OZ Cassovia Trail Runners.

7.) The use of an accompanying runner or runners (so-called "pacer") is not allowed and results in disqualification of the participant. The exception to this rule are pacers for the blind participants (with the permission of the organizer).

8.) Refusal to help to another event participant in case of emergency, physical or verbal insult or threat to organizers and volunteers, refusal to check mandatory equipment results in disqualification of the participant (DSQ).

9.) Not carrying any of the mandatory equipment is grounds for disqualification.

10.) Missing a cup or bottle with a wide mouth, ID card, map or high-visibility gear will be penalized by adding 1 hour to the finisher's time.

11.) Participants may not throw away garbage (littering) outside checkpoints manned by the organizers or public waste receptacles or containers. 12.) Penalty or disqualification will be applied in the place where a violation of the rules by the participant was found, or at the next checkpoint, if the participant who violated the rules left the checkpoint before the penalty or disqualification was applied. Penalization or disqualification will be done by the event organizer or a volunteer authorized by him at the checkpoint after telephone consultation with the event organizers.

12.) A protest against possible problems in the organization or course of the event can be filed at the finish line no later than 1 hour after the end of the overall time limit of the event. The participant submits the protest in person to the event organizer. The condition for submitting a protest is the payment of a deposit of €20. If the protest is accepted by the event organizer, the EUR 20 deposit will be returned to the participant, if the protest is not accepted, the deposit will be forfeited to the event organizer.

Environmental protection
1.) Participants of the event must behave respectfully towards nature and stay on the trail at all possible times.

2.) Participants may not throw away garbage outside the checkpoints manned by the organizers or public waste receptacles or containers.

Consent to the processing of personal data
By registering, the participant gives consent in accordance with Act no. 18/2018 Coll. on the protection of personal data with the management, processing and storage of personal data required in the registration form by the civil association Cassovia Trail Runners, with its registered office in Košice, Ovručská 9, 040 22 Košice, IČO 54385768 for the purpose of registration for the event.

If the situation and current measures require it, the PROTOCOL FOR THE PREVENTION OF COVID-19 will be part of the Rules, the wording of which will be developed on the basis of the current pandemic situation and current measures published in the valid decree of the ÚVZ SR.
